ROUTINE HEALTH & HORMONE
Website Privacy Policy
Effective date: August 2, 2026
This policy explains how Routine Health & Hormone collects, uses, discloses, and protects information through routinehealth.com and related online interactions. It does not replace our HIPAA Notice of Privacy Practices, which governs protected health information where applicable.
Routine Health & Hormone (“Routine,” “we,” “us,” or “our”) respects your privacy. This Website Privacy Policy applies when you visit routinehealth.com, use a website contact form, follow a link to schedule or pay for services, communicate with us electronically, or otherwise interact with our public-facing digital services.
1. Scope and relationship to patient privacy
This policy applies to information collected through our public website and related digital interactions. It does not necessarily apply to information collected offline, through a designated patient portal, or in connection with clinical care when a different notice or authorization applies.
If information becomes protected health information (PHI) in our role as a health care provider, our use and disclosure of that information is governed by the Health Insurance Portability and Accountability Act (HIPAA), other applicable health privacy laws, and our Notice of Privacy Practices. If this Website Privacy Policy conflicts with our Notice of Privacy Practices regarding PHI, the Notice of Privacy Practices controls. A copy of that notice is available upon request and should be posted on our website where required.
2. Information we collect
Information you provide. We may collect your name, email address, telephone number, the subject and content of a message, appointment preferences, communications choices, and any other information you choose to provide through a form, telephone call, text message, email, or other interaction.
Appointment and transaction information. When you schedule an appointment or make a payment through a third-party booking or payment page, the provider may collect contact, appointment, billing, and payment-card information under its own privacy policy. Routine may receive appointment details, payment status, and limited transaction records, but generally does not receive your complete payment-card number.
Health-related information. You may voluntarily provide information about symptoms, treatments, goals, medications, or other health matters. Please use only channels that Routine identifies as appropriate for sensitive or clinical information. Do not include urgent or highly sensitive medical information in a general website contact form.
Information collected automatically. When you use the website, we and our service providers may automatically collect Internet Protocol address, browser and device type, operating system, pages viewed, dates and times of visits, referring pages, links clicked, general geographic area, and similar usage or diagnostic information.
Cookies and similar technologies. We may use cookies, pixels, tags, local storage, and similar technologies to operate the website, remember preferences, protect forms from abuse, understand website performance, measure advertising, and improve our services.
3. How we use information
Provide and support services. We use information to respond to inquiries, schedule and manage appointments, process payments, provide requested information, and communicate about services.
Communicate with you. We may send confirmations, reminders, service notices, responses to questions, and marketing communications when permitted by law and consistent with your choices.
Operate and improve the website. We use information to maintain functionality, understand website usage, troubleshoot problems, improve content, and evaluate the effectiveness of campaigns.
Protect people and systems. We may use information to prevent fraud, abuse, security incidents, and other harmful or unlawful activity, including through anti-spam and bot-detection services such as reCAPTCHA.
Comply with law. We may use information to comply with legal, regulatory, recordkeeping, professional, and contractual obligations; respond to lawful requests; and establish, exercise, or defend legal claims.
Other purposes with notice or consent. We may use information for another purpose when we provide notice at collection or obtain consent as required.
4. Cookies, analytics, and advertising
The website may use essential technologies required for security and operation, analytics technologies that help us understand website traffic, and advertising technologies that help measure campaigns or present more relevant advertisements. These technologies may allow service providers to receive online identifiers, device information, approximate location, referring-page information, and browsing activity over time.
We do not sell personal information for money. However, some privacy laws may define certain advertising or analytics disclosures as a “sale,” “sharing,” or processing for targeted advertising. Where applicable, you may request to opt out by contacting us as described below. You may also manage cookies through your browser settings and use industry opt-out tools, although disabling cookies may affect website functionality.
Routine does not intentionally use advertising technologies to collect the contents of medical records, designated patient-portal communications, or the text entered into a website message field. We may honor browser-based privacy signals, such as Global Privacy Control, where required by applicable law. Because there is no uniform industry standard for all Do Not Track signals, the website may not respond to every such signal.
5. When we disclose information
Service providers. We may disclose information to vendors that support website hosting, security, contact forms, appointment scheduling, payments, communications, analytics, advertising, records management, and professional services. These providers may use information only as permitted by contract and applicable law.
Health care operations and partners. Where applicable, we may disclose information to clinicians, laboratories, pharmacies, contractors, and other parties involved in treatment, payment, or health care operations, subject to HIPAA, business associate agreements, and other legal requirements.
Legal, safety, and protection purposes. We may disclose information when we reasonably believe disclosure is required by law or necessary to protect the rights, safety, or property of Routine, our patients, website users, or others.
Business changes. Information may be transferred as part of a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, subject to applicable privacy and health information requirements.
At your direction or with consent. We may disclose information when you direct us to do so or when you authorize a disclosure.
Aggregated or deidentified information. We may use or disclose information that has been aggregated or deidentified so that it cannot reasonably be linked to an individual, as permitted by law.
6. Appointment, payment, and third-party services
Our website links to third-party services, including appointment scheduling and payment services. Information you submit directly to those services is governed by their privacy policies and security practices as well as any applicable agreements with Routine. Third parties may collect information independently, and Routine is not responsible for the privacy practices of unaffiliated websites or services. Review their policies before providing information.
7. Email and text communications
If you provide an email address or mobile number, we may use it to respond to you and, where permitted, send appointment reminders, operational messages, and promotional communications. Marketing consent is not a condition of purchasing services. Message frequency may vary, and message and data rates may apply. You may unsubscribe from marketing emails through the link in the message and may opt out of marketing texts by replying STOP. For text support, reply HELP or contact us directly. Opting out of marketing messages does not prevent us from sending nonmarketing communications that are necessary to provide requested services or permitted by law.
We do not share mobile opt-in consent or mobile telephone numbers with third parties or affiliates for their own marketing purposes. We may disclose them to service providers that help us send communications on our behalf, subject to appropriate restrictions.
8. Your privacy choices and rights
Marketing choices. You may opt out of promotional email or text communications using the instructions above. You may still receive service-related or legally required messages.
Cookie choices. You may control many cookies through browser settings. If Routine offers a cookie-preference tool, you may use it to update your choices.
State privacy rights. Depending on where you live and whether a law applies to Routine or the information at issue, you may have rights to confirm processing, access personal information, delete information you provided, obtain a portable copy, correct inaccuracies, and opt out of the sale of personal information or processing for targeted advertising. Some information may be exempt, including PHI governed by HIPAA, and we may retain information as permitted or required by law.
How to submit a request. Submit a request using the contact information at the end of this policy and describe the right you want to exercise. We may need to verify your identity and may deny or limit a request when permitted by law. An authorized agent may submit a request where applicable, subject to verification of the agent’s authority. We will not discriminate against you for exercising an applicable privacy right.
Medical record rights. Rights relating to PHI and medical records – including rights to access, amend, restrict, or request an accounting of certain disclosures – are described in our Notice of Privacy Practices and are handled under HIPAA and other applicable law.
9. Data retention
We retain personal information for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining business and clinical records, complying with legal and professional obligations, resolving disputes, enforcing agreements, and protecting security. Retention periods vary based on the type of information and applicable law. We may retain aggregated or deidentified information for longer periods when permitted.
10. Security
We use administrative, technical, and physical safeguards designed to protect personal information. No website, transmission, or storage system can be guaranteed to be completely secure. Please use caution when sending information online and use designated secure channels for sensitive medical information whenever available.
11. Children’s privacy
The public website is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information online from a child under 13 without the authorization required by law. If you believe a child under 13 has provided personal information through the website, contact us so we can review and take appropriate action. Parents or legal guardians should communicate with Routine on behalf of minors when arranging care.
12. Emergencies and sensitive communications
The website contact form, social media messages, and general email are not emergency services and may not be monitored continuously. Do not use them for emergencies. Call 911 or seek immediate medical care for an emergency. Unless Routine specifically directs otherwise, do not send highly sensitive medical information through a general contact form or social media message.
13. Changes to this policy
We may update this Website Privacy Policy from time to time. We will post the revised version on the website and update the effective date. If a change materially affects how we handle information, we may provide additional notice when required by law.
